This Privacy Policy explains how KlozerCRM collects, uses, discloses, and otherwise handles personal information in connection with klozercrm.com, app.klozercrm.com, and related services (collectively, the “Service”).
KlozerCRM is a SaaS CRM platform for real estate wholesalers, based in Alberta, Canada. In this Policy, “we,” “us,” and “our” refer to KlozerCRM.
This Policy covers information about our website visitors, account holders, users, and people who contact us. It also explains how we handle information that customers place in the Service about their own leads, sellers, buyers, and other contacts.
01Our Role in Handling Information
We handle account, billing, website, and support information to operate KlozerCRM and manage our relationship with users.
When a KlozerCRM customer stores information about their own leads, sellers, buyers, or other contacts, KlozerCRM processes that information as part of providing the software service to that customer. The customer determines why the information is collected, which records are uploaded, who can access them, and how the configured tools use them.
Our processing of customer-controlled CRM information is guided by the customer’s instructions, our agreement with them, and applicable law. A customer’s own privacy policy governs their business practices, including how they obtain leads and decide to communicate with them.
02Information We Collect
The information we collect depends on how you interact with KlozerCRM, which features are enabled, and what you or a customer choose to provide.
We may collect information directly from you, automatically through use of the Service, and through authorized integrations or service providers. You may choose not to provide optional information. Information necessary for account access, payment, or a requested feature may be required to provide that function.
Account and contact information
This may include your name, business name, email address, telephone number, business address, login information, account preferences, and user role.
We may also collect messages, attachments, troubleshooting details, and other information you provide when requesting support, booking a demonstration, or communicating with us. Avoid including unnecessary personal information in support requests.
Billing information
Billing information may include your billing name and address, subscription, invoices, payment status, transaction references, and limited payment-method details.
Payment providers process the payment credentials needed to complete transactions. Depending on the payment method, they may make information such as card type, expiration date, or the last few digits available for billing and account management. Payment processing is also subject to the relevant provider’s privacy practices.
Usage and device information
We may collect IP addresses, browser and device information, operating systems, referring pages, approximate location inferred from an IP address, access times, and activity within the Service.
This information may include login records, features used, configuration changes, diagnostic information, and error logs. It helps us operate the platform, troubleshoot problems, measure usage, and identify suspicious activity.
Customer-uploaded CRM data
Customers may upload, import, generate, or connect contact records, communications, notes, appointments, tasks, documents, signatures, workflow information, and deal activity.
CRM data may arrive through manual entry, forms, websites, imports, communications, or connected applications. The categories and amount of information depend on each customer’s business practices and configuration.
Seller, buyer, property, and lead information
Customer records may contain names, email addresses, telephone numbers, mailing addresses, property addresses, ownership details, property condition, selling timelines, buyer preferences, offer information, and transaction records.
Properties and deals may be associated with identifiable individuals, making related information personal information. Records may also include consent history, communication preferences, and notes about a person’s interactions with the customer.
Communications information
When communications features are used, the Service may process message content, sender and recipient details, delivery status, call metadata, and voicemail. Recordings, transcripts, and summaries may also be processed when the relevant features are enabled.
03How We Use Information
We use personal information for purposes connected with providing and operating KlozerCRM, including to:
- Create and administer accounts and user access.
- Provide CRM features, store records, and run customer-configured workflows.
- Deliver calls, texts, emails, documents, and other requested communications.
- Process payments, measure usage, and manage subscriptions.
- Provide support and investigate reported problems.
- Monitor performance, diagnose errors, and improve usability.
- Detect fraud, prevent misuse, and protect accounts and infrastructure.
- Send service notices, billing messages, and security communications.
- Respond to privacy requests and meet legal obligations.
We may use account contact information for product news or marketing where permitted by law. Marketing messages include a way to unsubscribe. Essential account, billing, or security communications may still be sent when necessary to provide the Service.
When handling customer-controlled CRM data, we use it to deliver and support the customer’s software services and carry out authorized instructions. We do not treat the act of uploading a lead as permission for KlozerCRM to send that person its own marketing.
04Third-Party Service Providers
KlozerCRM uses third-party technology, hosting, communications, payment, AI, analytics, support, and infrastructure providers.
These providers may process information needed to perform their functions, such as storing records, delivering messages, processing payments, supporting AI features, or maintaining platform reliability. Access and processing depend on the function involved and the features being used.
We use contractual and other appropriate measures to address confidentiality, security, and permitted processing when engaging providers to handle information on our behalf.
Some providers also process information for their own legal, fraud-prevention, or account-management obligations. Their handling of information for those independent purposes is governed by their own policies and applicable law.
05AI Processing
When AI features are enabled, relevant information may be sent to AI providers to produce the requested output or perform the configured task.
Depending on the feature, this may include prompts, contact details, CRM fields, messages, call recordings, transcripts, and related context. AI-generated responses, summaries, or classifications may be stored in the customer’s account and made available to authorized users.
The information processed depends on the feature, account configuration, and applicable provider arrangements. Customers should select appropriate inputs and avoid submitting sensitive or unnecessary information.
Customers are responsible for providing any required notices and obtaining any required consent for AI-assisted processing or communications. AI output may contain errors and should be checked before it is relied on to make decisions about an individual.
06Calling, SMS, and Email Providers
Communications providers process information required to route, transmit, and manage calls, texts, and emails. This can include telephone numbers, email addresses, message content, call details, delivery events, and opt-out information.
Providers may also process business identification and campaign information for registration, fraud prevention, abuse detection, and compliance with applicable requirements.
Customers control the recipients, content, timing, and configuration of their communications. They are responsible for having a lawful basis to contact recipients and honoring applicable consent and do-not-contact requirements.
If you receive a message from a business using KlozerCRM, follow the message’s unsubscribe instructions or contact that business to manage your preferences.
07Cookies and Analytics
Our website and Service may use cookies, local storage, and similar technologies to maintain sessions, remember preferences, support security, and understand how features are used.
Necessary technologies help functions such as authentication and account access work correctly. Where used, analytics technologies help measure visits, navigation, performance, and errors. Some technologies may be supplied by third-party providers.
You can manage cookies through your browser settings and any consent controls presented on the website. Where required, we seek consent before using non-essential technologies.
Disabling certain technologies may affect sign-in, saved preferences, or other functionality. Cookie choices on KlozerCRM’s website do not automatically control technologies installed on a customer’s separate website or landing page.
08When Information May Be Shared
We may disclose personal information in the following circumstances:
- To provide the Service: With providers that support the functions described in this Policy.
- Within a customer’s account: With account administrators and authorized users according to permissions and account configuration.
- At a customer’s direction: With connected applications, communication recipients, document recipients, or others selected through the Service.
- For legal requirements: When reasonably necessary to comply with applicable law, a valid legal process, or a lawful government request.
- For protection and enforcement: To address fraud, security incidents, misuse, or threats to rights and safety, or to establish or defend legal claims.
- During a business transaction: In connection with a proposed or completed merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality and legal requirements.
- With authorization: When you otherwise direct or permit a disclosure.
Connecting an external application may allow it to receive information until the integration is disconnected or its permissions are revoked.
09International Data Processing
KlozerCRM is based in Alberta, Canada, but the Service relies on providers that may store or process information in Canada, the United States, and other countries.
Personal information may therefore be transferred outside your province, country, or the country where it was collected. Privacy laws and government access rules in those locations may differ from those in your location.
We use appropriate measures for international processing as required by applicable law. Information processed abroad may be accessible to courts, law enforcement, or other authorities under the laws of the relevant jurisdiction.
You may contact us with questions about our use of providers outside Canada.
10Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including providing the Service, maintaining business records, resolving disputes, and meeting legal obligations.
Retention depends on the type of information, account status, customer instructions, feature settings, provider requirements, and applicable law. Billing and transaction records may need to be retained after an account is closed.
Customer-controlled CRM data may be retained while needed to provide the customer’s Service. Following deletion or account closure, information may remain temporarily in backups or technical logs until removed through applicable retention cycles. Information subject to a legal preservation requirement may be retained longer.
Customers should export needed records before ending their access.
11Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, and disclosure.
No online service or transmission method is completely secure. Security also depends on customer practices, including password protection, user permissions, device security, and integration settings.
Customers should limit access to people who need it, use available account security controls, and promptly remove unnecessary access. If you suspect that information in KlozerCRM has been compromised, contact [email protected].
We assess suspected security incidents and provide notifications when required by applicable law.
12Privacy Rights and Choices
Depending on your location and applicable law, you may have rights to request access to your personal information, correct inaccurate information, request deletion, withdraw consent, or object to or restrict certain processing.
These rights are subject to legal exceptions. For example, we may need to retain information for billing records, security, or legal obligations. Withdrawing consent may affect our ability to provide a feature that requires the information.
Send requests concerning information KlozerCRM controls to [email protected]. We may need to verify your identity and authority before responding, and we will respond within applicable legal timeframes.
For information held in a customer’s CRM account, contact that business first. We may refer requests to the customer or assist them in responding, as appropriate. You may also raise concerns with the privacy authority responsible for your jurisdiction.
13Customer Responsibilities
Customers are responsible for the personal information they collect and manage through KlozerCRM. This includes providing clear privacy notices, obtaining required consent or other lawful authority, and using information only for permitted purposes.
Customers must maintain accurate records where appropriate, honor privacy and communication preferences, manage access permissions, and establish suitable retention practices.
A publicly available record or purchased list does not automatically authorize every use of that information. Customers must evaluate their collection sources and proposed communications before importing data or activating campaigns.
KlozerCRM’s software features and templates do not replace a customer’s responsibility to comply with applicable privacy and communications requirements.
14Customer Websites, Forms, and Landing Pages
Customers may use KlozerCRM to create or operate websites, forms, surveys, booking pages, and landing pages. Information submitted through these tools is generally collected for the customer operating the page and processed through KlozerCRM to provide the Service.
The customer is responsible for identifying its business, explaining its collection practices, providing required notices and consent options, and managing any tracking technologies it enables.
Submitting information through a customer’s page does not necessarily create a direct business relationship with KlozerCRM. Questions about that business’s marketing, offers, or use of your information should be directed to the business identified on the page.
15Children’s Privacy
KlozerCRM is intended for business use by adults and is not directed to children under 18. We do not knowingly collect personal information directly from children to create user accounts.
Customers must not use the Service to target children or collect children’s information without any authorization and safeguards required by law.
If you believe a child has provided personal information to KlozerCRM without appropriate authorization, contact us so we can investigate and take appropriate action.
16Changes to This Policy
We may update this Privacy Policy as our Service, practices, or legal obligations change. The updated version will appear on this page with a revised effective date.
Where required, we will provide additional notice of material changes through the Service, email, or another appropriate method. If a new use of personal information requires consent, we will seek that consent before carrying out the new use.
